Privacy Policy

Last updated: 17 October 2026

This privacy policy explains how Sigmonix collects, uses and protects personal data when you visit sigmonix.com or book an appointment through it. We have tried to keep it short and in plain language. If anything is unclear, please get in touch using the details in the “How to contact us” section.

Who we are

This website is run by Steven Patrick Frazer, trading as Sigmonix (Entrepreneur Individuel, SIRET 92458651400037). Sigmonix is an IT consultancy providing services for Microsoft 365, Google Workspace and Hyper-V.

For the purposes of data protection law, Steven Patrick Frazer (trading as Sigmonix) is the controller of the personal data described in this policy. In this policy, “we”, “us” and “our” mean Sigmonix, and “you” means anyone who visits the website or uses our booking link.

How to contact us

You can contact us about this policy, or about your personal data, by booking a call through our appointment booking page: https://calendar.app.google/aUE3iAPYC3YeqRvS9. Please mention in the booking notes that your request relates to privacy.

You can contact us about privacy at web@sigmonix.com.

What personal data we collect

We try to collect only what we need. Depending on how you use the website, this may include the following.

Appointment booking details

When you book an appointment using our Google Calendar booking link, you provide details such as your name, email address, the date and time you choose and anything you add in the booking notes (for example, a brief description of your IT requirement). If you choose to provide a phone number or company name, we receive that too. The booking page is provided and hosted by Google, so Google also processes this information (see “Who we share your data with”).

Analytics data

If you agree to analytics cookies, we use Google Analytics (connected through the Google Site Kit plugin) to understand how people use the website. This may include the pages you visit, how long you stay, how you arrived at the site, your approximate location (based on a shortened IP address), and your device, browser and operating system. We use this information in aggregated form and do not use it to identify you personally.

We also use Google Search Console (through Site Kit) to see how the website appears in Google search results. Search Console gives us aggregated search statistics and does not set cookies on your device.

Cookies

The website uses cookies and similar technologies. Some are strictly necessary for the website to work (for example, remembering your cookie choices); others, such as analytics cookies, are only set if you consent. See the “Cookies” section below.

Server logs

Like most websites, our hosting provider’s servers automatically record technical information when you visit, such as your IP address, the date and time of your request, the pages or files requested, your browser type and the referring web address. These logs are used to run the website, diagnose problems and keep it secure.

Security logs

We use the Wordfence security plugin to protect the website against attacks, spam and unauthorised access. Wordfence may record IP addresses, browser information, pages requested, login attempts and details of blocked or suspicious activity.

Contact form (if/when enabled)

There is currently no contact form on the website. If we add one in the future, it will collect the information you choose to enter (such as your name, email address and message) so that we can reply to you. We would rely on our legitimate interests in responding to your enquiry, or on steps taken at your request before entering into a contract, and would keep the messages only for as long as needed to deal with your enquiry.

Why we use your data and our lawful bases

We process personal data under the UK General Data Protection Regulation (UK GDPR) and the EU General Data Protection Regulation (EU GDPR), as applicable. We only use your data where we have a lawful basis to do so:

  • Appointment bookings and preparing for or providing our services: necessary to take steps at your request before entering into a contract, or to perform a contract with you (contract).
  • Following up on an enquiry where no contract is planned: our legitimate interests in responding to people who contact us and running our business (legitimate interests).
  • Analytics cookies and Google Analytics: only with your consent, which you can withdraw at any time through the cookie settings (consent).
  • Strictly necessary cookies, such as storing your cookie preferences: our legitimate interests in operating a working website and recording your choices (legitimate interests).
  • Server logs, security logs and protecting the website: our legitimate interests in keeping the website available, secure and free from abuse (legitimate interests).
  • Website backups: our legitimate interests in being able to restore the website if something goes wrong (legitimate interests).
  • Keeping business and accounting records where you become a client: compliance with our legal obligations, for example accounting and tax rules (legal obligation).

Where we rely on legitimate interests, we have considered whether those interests are balanced against your rights and expectations. You can object to this processing at any time (see “Your rights”).

We do not sell your personal data, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

Cookies

When you first visit the website, a cookie banner (provided by the GDPR Cookie Compliance plugin by Moove) lets you accept or reject non-essential cookies, or choose which types to allow through the settings option.

  • Strictly necessary cookies: needed for the website to function and to remember your cookie preferences. These cannot be switched off through the banner.
  • Analytics cookies: set by Google Analytics to help us understand how the website is used. These are only set if you accept them.
  • Security cookies: Wordfence may set cookies needed to protect login and administration areas. These mainly affect people who log in to the website.

You can change your mind at any time by reopening the cookie settings (usually via the cookie settings link or icon on the website) and updating your choices. You can also delete or block cookies through your browser settings, although some parts of the website may not work properly if you do.

Who we share your data with

We do not sell or rent your personal data. We share it only with service providers that help us run the website and our business, and only as far as needed:

  • Google: provides the appointment booking service (Google Calendar), Google Analytics, Google Search Console and Google Drive, where our website backups are stored. Information you enter on the booking page is handled by Google under its own terms and privacy policy, which you can read at https://policies.google.com/privacy.
  • Our website hosting provider: Hostinger, with servers in France, which stores the website and its data and keeps server logs.
  • Wordfence (Defiant, Inc.): provides security features that may involve checking IP addresses and other technical data against its threat intelligence services.
  • Other plugins: the Yoast SEO plugin helps us manage how pages appear in search engines and, as far as we are aware, does not track visitors. UpdraftPlus creates copies of the website (which may include any personal data stored in it) and sends them to our Google Drive.

We may also disclose personal data if we are required to by law, or where it is necessary to protect our rights, our users or others.

International transfers

Some of our service providers, including Google and Wordfence (Defiant, Inc.), are based in, or may process data in, countries outside the UK and the European Economic Area (EEA), such as the United States. Where this happens, we rely on appropriate safeguards recognised by UK and EU law. These may include adequacy decisions (such as the EU-US Data Privacy Framework and its UK Extension, where the provider is certified) or standard contractual clauses approved by the European Commission or the UK authorities. You can ask us for more information about these safeguards.

How long we keep your data

We keep personal data only for as long as we need it for the purposes described in this policy:

  • Booking details and related correspondence: for as long as needed to arrange and follow up on your appointment, and generally no longer than 3 years after our last contact if you do not become a client.
  • Client records, including invoices: for as long as required by accounting and tax rules (in France, accounting records are generally kept for 10 years).
  • Google Analytics data: kept for up to 2 months, after which it is automatically deleted.
  • Cookies: for the periods shown in the cookie settings, or until you delete them. Your cookie preference is remembered for a limited period, after which you will be asked again.
  • Server logs: for the period set by our hosting provider, normally a short period of a few weeks or months.
  • Security logs: for the period configured in Wordfence, normally a short period, unless needed to investigate a security incident.
  • Website backups: older backups are automatically replaced on a rolling basis, so data in them is removed over time.

How we keep your data secure

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include using a security plugin and firewall (Wordfence), keeping WordPress and its plugins up to date, using encrypted connections (HTTPS), restricting access to administration areas and taking regular backups. No method of transmission over the internet or storage is completely secure, but we work to protect your data and to respond promptly to any issues.

Your rights

Depending on where you are, you have rights over your personal data under UK GDPR and EU GDPR. These include the right to:

  • Access: ask for a copy of the personal data we hold about you.
  • Rectification: ask us to correct data that is inaccurate or incomplete.
  • Erasure: ask us to delete your data in certain circumstances.
  • Restriction: ask us to limit how we use your data in certain circumstances.
  • Data portability: ask for data you have given us in a structured, commonly used, machine-readable format, or ask us to transfer it to another organisation, where technically possible.
  • Objection: object to our use of your data where we rely on legitimate interests.
  • Withdraw consent: where we rely on your consent (for example, for analytics cookies), withdraw it at any time. You can do this through the cookie settings. Withdrawing consent does not affect processing that took place before you withdrew it.

If you are in France, you may also give us instructions about what should happen to your personal data after your death.

To exercise any of these rights, contact us using the details in “How to contact us”. We may need to confirm your identity before acting on your request. We will respond within one month, although this may be extended in some cases, in which case we will let you know. There is normally no charge.

Your right to complain

If you are unhappy with how we have handled your personal data, please contact us first so that we can try to put things right. You also have the right to complain to a data protection supervisory authority:

If you live in another EEA country, you can also complain to the supervisory authority in that country.

Children

Our website and services are aimed at businesses and adults. They are not intended for children, and we do not knowingly collect personal data from children. If you believe a child has given us personal data, please contact us and we will delete it.

Links to other websites

The website may contain links to other websites, including Google’s booking page. We are not responsible for the privacy practices of other websites, so please read their privacy policies.

Changes to this policy

We may update this policy from time to time, for example if we change the tools we use or if the law changes. The latest version will always be published on this page, with the date it was last updated shown at the top and bottom. Where changes are significant, we may also highlight them on the website.
